How to use it
How to use the workbook
Start by updating the Dashboard Review Date, because open days, aging, past-due flags, and follow-up-due flags use that date. On the Referrals sheet, replace or remove the populated samples and enter one referral per row using a unique Referral ID and a non-identifying Client Reference. Complete the applicable dropdown fields and dates, then maintain referral status, authorization, follow-up, appointment, and closure details as work progresses. Review the calculated Data Check and Action Alert columns, and use the clinic and coordinator filters to focus the dashboard on selected workloads. Do not use this workbook to manage emergency referrals or time-critical clinical situations.

Track Each Referral from Intake Through Closure
The Referrals sheet organizes one referral per row across 20 user-entry fields. Teams can record the Referral ID, Date Received, non-identifying Client Reference, Referring Clinic, Destination Organization, Specialty, Urgency, Referral Reason Category, Payer Category, Authorization Status, Coordinator, and Referral Status. Date, outcome, and notes fields support ongoing updates through scheduling or closure. The 500 prepared rows run from row 2 through row 501; populated examples are samples rather than additional capacity.

Prioritize Referral Follow-Up and Exceptions
Seven formula-driven columns turn entered data into operational outputs. Days Open and Aging Band show elapsed time, while open, past-due, and follow-up-due flags support exception review. Data Check identifies issues such as missing required information, duplicate referral IDs, or invalid date sequences. Action Alert categorizes populated records as Check data, Closed, Past due, Follow-up due, Authorization pending, or On track according to workbook logic. The calculated columns are outputs and should not be treated as manual-entry fields.
Review Clinic and Coordinator Workload
The Dashboard summarizes current workload using the selected Review Date and optional clinic and coordinator filters. Metrics include Total Referrals, Open Referrals, Past Due, Follow-up Due, Scheduled, Completed, New, Pending Authorization, Data Issues, Closed Without Scheduling, Completion Rate, and Average Open Days. Selecting All includes the available list values, while a specific selection narrows every dashboard metric and chart. This provides a filterable operational view without changing the underlying referral records.

Understand Status and Referral Aging
The workbook treats New, Sent, Scheduling, and Scheduled referrals as open. Open workload is grouped into 0–7, 8–14, 15–30, 31–60, and 61+ day bands. Days Open uses the Closed Date when present and otherwise uses the Dashboard Review Date, with a minimum result of zero. Two charts display counts by referral status and open-aging band, providing a visual workload summary grounded in the referral register.
