This free Excel template provides a structured clinic room utilization spreadsheet for tracking room capacity and operational use by date and session. Enter one record for each clinic, room, date, and session to monitor planned capacity, blocked time, downtime, occupied minutes, and completed visits. The workbook calculates net usable time, unfilled time, unavailable time, and usable utilization, then reports eligible records through a filterable Dashboard.

The Room Log includes 500 prepared operational rows from rows 7 through 506. Populated entries are samples that demonstrate the workflow and do not represent claimed clinic performance.

In practice

What this template helps you manage

  • Measure usable room capacity: Separate planned capacity from blocked minutes and downtime to determine how much room time was operationally available.
  • Identify unfilled room time: Compare occupied minutes with net usable minutes to reveal remaining usable capacity for each clinic-room-date-session record.
  • Review performance by room: Use the Dashboard to compare reportable sessions, planned hours, net usable hours, occupied hours, unfilled hours, usable utilization, and completed visits across displayed rooms.
  • Filter operational results: Set a start date and end date, then select a clinic and service line or use the available All options to define the reporting scope.

How to use it

How to use the workbook

Start on the Lists sheet to review the configured clinic, room, session, and service-line options. In the Room Log, enter one row for each unique clinic-room-date-session combination using the user-entry fields from Date through Notes. Record planned capacity, blocked time, downtime, occupied time, and completed visits as whole numbers within the validated limits. Enter zero when a required numeric value is zero instead of leaving it blank. Blocked minutes and downtime minutes must not overlap, and occupied minutes must exclude both categories and must not exceed net usable minutes. Review the calculated Data Status in column P and correct records that are not Ready. On the Dashboard, choose the reporting dates, clinic, and service line. Only Ready records matching those selections contribute to Dashboard metrics and the chart. Do not enter patient information in this operational workbook.

Inside the file

Included features and controls

Four-purpose workbook structure: The file contains Dashboard, Room Log, Lists, and Instructions sheets. These sheets support reporting, operational entry, controlled choices and mappings, and documented usage guidance.
500 prepared Room Log rows: Rows 7 through 506 are prepared for operational records. User inputs occupy columns A through K, while calculated outputs occupy columns L through R.
Automatic room calculations: Net Usable Minutes equals planned capacity minus blocked and downtime minutes, with a minimum result of zero. Unfilled Usable Minutes equals net usable minutes minus occupied minutes, also with a minimum of zero. Unavailable Minutes equals blocked minutes plus downtime minutes.
Usable utilization metric: The workbook divides occupied minutes by net usable minutes. It returns a blank utilization result when net usable minutes are zero.

Track Clinic Room Capacity and Availability

The Room Log captures Date, Clinic, Room, Session, Service Line, Planned Capacity Minutes, Blocked Minutes, Downtime Minutes, Occupied Minutes, Completed Visits, and Notes. This structure supports a consistent clinic-room-date-session level of reporting without including patient-level fields. Calculated columns then convert those operational inputs into net usable minutes, unfilled usable minutes, utilization, unavailable minutes, status, Dashboard scope, and a record key.

Calculate Net Usable and Unfilled Room Time

Planned capacity does not necessarily equal usable capacity. The spreadsheet subtracts blocked minutes and downtime minutes from planned capacity and prevents net usable time from falling below zero. It then subtracts occupied minutes from net usable minutes to calculate unfilled usable time, again preventing a negative result. These calculations help distinguish unavailable time from usable capacity that remained unoccupied.

Analyze Room Utilization on the Dashboard

The Dashboard includes date controls plus clinic and service-line filters. For qualifying records, it reports planned capacity hours, net usable hours, occupied hours, usable utilization, unfilled usable hours, completed visits, unavailable share, and reportable sessions. The room summary and included chart provide a room-level utilization view for the displayed room range. A blank utilization result means no applicable usable time is available for that calculation.

Review Data Before Operational Reporting

The calculated Data Status determines whether a record is eligible for Dashboard reporting. The workbook checks required fields, clinic-to-room mappings, and duplicate date-clinic-room-session combinations as part of its review logic. A record enters the reporting scope only when it is Ready, falls within the selected dates, and matches the clinic and service-line filters. This Ready-only reporting keeps identified review records out of KPI and chart calculations. The workbook is an operational planning tool and does not provide clinical, legal, payer, tax, or regulatory advice.
