In practice

What this template helps you manage

  • See the daily queue at a glance: Select a service date and view all configured clinics or one clinic. The Dashboard reports total arrivals, Waiting, Checking In, Ready for Room, On Hold, average wait to start, longest active wait, and target-exceeded records.
  • Track each visitor through check-in: Use one row per check-in to document arrival, check-in start, check-in completion, room readiness, current status, priority, assigned desk, delay reason, and last update.
  • Identify waits that need attention: The workbook compares applicable active waits with visit-type targets. Records can be labeled Near target when the wait reaches at least 80% of the target or Target exceeded when the wait is greater than the target.
  • Improve record consistency: Dropdowns standardize clinics, visit types, statuses, priorities, assigned desks, and delay reasons. Date, time, date-time, note-length, and wait-target validations provide additional input controls.

How to use it

How to use the workbook

Start on the Dashboard by selecting the operating date and either All clinics or one of the four configured clinics. Remove or replace the fictional examples, then enter one check-in per prepared row on Queue Tracker using a unique Queue ID and a nonidentifying visitor alias. Complete the Service Date, Clinic, Visit Type, Arrival Time, Status, and Priority fields, along with other applicable operational details. Update Check-In Start, Check-In Complete, Ready for Room, and Last Updated as work progresses. Before closing or handing off the queue, review Queue Alert, Data Check, Target Exceeded, Near Target, and On Hold records. Active-wait formulas use NOW() and refresh when Excel recalculates the workbook.

Inside the file

Included features and controls

Four purpose-built worksheets: The workbook contains Dashboard, Queue Tracker, Lists & Settings, and Instructions.
200 prepared operational rows: Queue Tracker provides rows 6 through 205 for check-in records. Some initial rows contain fictional examples; prepared blank rows are available for operational entry.
Editable queue fields: Inputs include Queue ID, Service Date, Clinic, Visitor Alias, Visit Type, Appointment Time, Arrival Time, Check-In Start, Check-In Complete, Ready for Room, Status, Priority, Assigned Desk, Delay Reason, Operational Notes, and Last Updated.
Calculated operational outputs: Formulas provide Wait to Start, Check-In Duration, Arrival to Ready, Appointment Variance, Wait Target, Queue Alert, Data Check, and Active Wait Helper values.

Monitor Clinic Check-In Wait Times in Excel

The tracker calculates Wait to Start when the necessary arrival and check-in timestamps are available. It also calculates Check-In Duration, Arrival to Ready, and Appointment Variance from the relevant time fields. For Waiting or On Hold records without a check-in start, the applicable wait calculation can use the current workbook time. Because the workbook relies on NOW(), these active values update when Excel recalculates rather than operating as an independent continuous timer.

Manage Front-Desk Queue Status and Workload

Consistent status choices help distinguish visitors who are Waiting, Checking In, Ready for Room, On Hold, Canceled, or who Left Before Check-In. Staff can also record assigned desk and priority, selecting from five front desks, a check-in kiosk, Standard priority, or Time-Sensitive priority. Delay reasons and operational notes provide queue context without requiring clinical documentation.

Find Records That Need Operational Review

The calculated Data Check field evaluates required values, timestamp order, and selected status/time relationships. Queue Alert can display Review record, On hold, Near target, or Target exceeded as applicable. The Dashboard consolidates these issues into queue review alerts, allowing staff to focus on exceptions before a daily close or shift handoff.

Use the Dashboard by Service Date and Clinic

Dashboard formulas filter activity using the selected service date and clinic. Users can choose All or one of four configured locations: Harborview Family Clinic, Willow East Medical Office, North Ridge Clinic, or Cedar Crossing Clinic. The view combines eight headline metrics with a six-status queue chart. The Lists & Settings sheet also checks for blank or duplicate clinic names and invalid or missing wait-target settings.
