This free Excel template provides a structured clinic check in queue tracker for recording arrivals, following check-in progress, and reviewing front-desk wait times. It includes a date- and clinic-filtered dashboard, 200 prepared Queue Tracker rows, configurable visit-type wait targets, validated inputs, calculated timing fields, queue alerts, and data-quality checks.
The populated records are fictional samples and should be removed or replaced before operational use.
In practice
What this template helps you manage
- See the daily queue at a glance: Select a service date and view all configured clinics or one clinic. The Dashboard reports total arrivals, Waiting, Checking In, Ready for Room, On Hold, average wait to start, longest active wait, and target-exceeded records.
- Track each visitor through check-in: Use one row per check-in to document arrival, check-in start, check-in completion, room readiness, current status, priority, assigned desk, delay reason, and last update.
- Identify waits that need attention: The workbook compares applicable active waits with visit-type targets. Records can be labeled Near target when the wait reaches at least 80% of the target or Target exceeded when the wait is greater than the target.
- Improve record consistency: Dropdowns standardize clinics, visit types, statuses, priorities, assigned desks, and delay reasons. Date, time, date-time, note-length, and wait-target validations provide additional input controls.

About this template
The Queue Tracker contains 200 prepared rows, covering rows 6 through 205. Some beginning rows contain fictional sample records, while the remaining prepared rows are available for operational entry.
User-entered fields include identifiers, clinic and visit details, timestamps, status, priority, assigned desk, delay reason, operational notes, and Last Updated. Calculated outputs include Wait to Start, Check-In Duration, Arrival to Ready, Appointment Variance, Wait Target, Queue Alert, Data Check, and Active Wait Helper.
Yes. The Dashboard selector supports All clinics or one of the four configured clinics. Its metrics use both the selected service date and clinic.
For applicable active records, Near target means the measured wait is at least 80% of the configured visit-type target. Target exceeded means the wait is greater than that target. A record with a data-check issue is labeled Review record instead.
Yes. The Lists & Settings sheet contains targets for six visit types. The validated cells accept whole-number targets from 1 through 120 minutes. List values should be edited carefully because existing records are not automatically renamed when a list item changes.
Use unique Queue IDs, nonidentifying aliases, and operational queue details only. The Instructions sheet says not to enter diagnoses, clinical notes, member numbers, dates of birth, addresses, or other unnecessary sensitive information. The included examples are fictional and should be removed or replaced before operational use.
