How to use it
How to use the workbook
Start on the Dashboard by entering the reporting date, a due-soon window from 1 to 90 days, and an escalation-attempt threshold from 1 to 20. Next, replace or remove the populated sample records and add one recall item per prepared row in Recall Tracker. Enter a unique Recall ID, a non-identifying Patient Reference, and the relevant administrative details. Update the attempt count, last attempt date, last outcome, next action date, status, completion date, and administrative notes as work progresses. Then review the calculated Work Queue and Data Check fields, resolve exceptions, and use filters and Dashboard summaries to manage follow-up. The workbook’s checklist recommends ensuring the reporting date is current, reviewing highlighted duplicate Recall IDs, resolving data checks, assigning owners to overdue and escalation items, adding completion dates to completed records, and maintaining next action dates for Open, Deferred, and Unable to Reach records.

Manage patient recall outreach in a prepared Excel tracker
The Recall Tracker contains 17 columns and 200 prepared operational rows. Users enter recall identifiers, a non-identifying patient reference, clinic, recall type, due date, outreach owner, preferred channel, attempt activity, next action, status, completion date, and administrative notes. The workbook calculates Days to Due, Work Queue, and Data Check for every prepared row. Populated sample records demonstrate the layout but should be replaced or removed before operational use.

Prioritize overdue and due-soon recall work
Queue calculations reference the Dashboard reporting date and configured thresholds. Available results are Review data, Action overdue, Escalate review, Recall overdue, Due soon, Upcoming, and Closed. An overdue next action can be surfaced as Action overdue, while records meeting the attempt threshold and not marked Scheduled can enter Escalate review. Due soon is based on the configurable 1-to-90-day window. Completed, Declined, and Closed - Other statuses are categorized as Closed.
Review outreach workload on the Excel dashboard
The Dashboard summarizes the prepared tracker range with workload and progress indicators. It reports total records, active workload, overdue recalls, overdue actions, due-soon items, escalation reviews, completed records, and data checks. Additional measures cover completion rate, total attempts, scheduled records, unable-to-reach records, and records without attempts. Two included charts visualize work-queue and recall-status counts.

Standardize entries with dropdowns and validation
The Lists sheet supplies choices for four clinics, five recall types, four outreach owners, five preferred channels, eight last outcomes, and seven recall statuses. Status options are Open, Scheduled, Completed, Declined, Unable to Reach, Deferred, and Closed - Other. Date and whole-number rules support consistent entry, while the calculated Data Check field flags missing or logically inconsistent information. If list choices are revised, users should confirm that validation ranges include the new cells and review formulas before renaming status or outcome values.
Use the tracker for privacy-conscious administrative work
This workbook is intended for administrative workflow tracking and instructs users to use non-identifying patient references only. Do not enter patient names, birth dates, contact details, diagnoses, or free-text clinical information. The template does not replace a clinic’s scheduling, patient record, or communication systems, and it does not provide clinical, legal, payer, regulatory, or compliance advice. Organization-approved communication channels and procedures should still be followed.
