This free Excel template supports insurance payment posting reconciliation by helping clinic operations and revenue cycle teams compare expected payer payments, posted insurance amounts, and bank deposit batches. The workbook provides prepared operational rows for up to 1,000 payment records and 500 deposit batches, with formulas that calculate posting variances, deposit variances, reconciliation statuses, linked totals, and open days.
It is designed for operational exception review without patient-level information.

In practice
What this template helps you manage
✓
Compare payment posting amounts: Record the expected payer payment and posted insurance amount for each payment. The workbook calculates the posting variance as the expected amount minus the posted amount, rounded to two decimal places.
✓
Reconcile bank deposit batches: Connect payment records to deposit batches by Deposit Batch ID. Each batch automatically calculates its linked payment count, linked expected payment amount, deposit variance, and status.
✓
Identify exceptions automatically: Calculated payment statuses distinguish reconciled records from unposted payments, posting differences, deposit differences, missing assignments, unknown batches, date issues, and missing required data.
✓
Monitor unresolved items: Open Days calculations and the configurable alert threshold help teams locate payment records that have remained unresolved beyond the selected review period.
How to use it
How to use the workbook
Start on the Dashboard and update the Review As Of Date, posting variance tolerance, deposit variance tolerance, and open-item alert days. Next, enter one bank deposit per row on the Deposit Batches sheet. Record one payer payment per row on the Payment Log, then assign the applicable Deposit Batch ID. After posting is completed, enter the posting date and posted insurance amount. Review payments not marked Reconciled, deposit batches not marked Matched, and items exceeding the alert-day setting. Add concise operational notes without including patient-identifying information. The workbook contains populated sample records that demonstrate the workflow; clear or replace those examples before operational use.

Insurance Payment Posting Reconciliation in Excel
The Payment Log provides a structured place to document payer, payment method, trace or check number, received date, expected amount, posting date, and posted insurance amount. Its automatic posting variance calculation compares the expected payment with the posted insurance amount. The Dashboard then summarizes expected payments, posted amounts, net posting variance, records requiring review, and open items over the configured alert threshold.

Bank Deposit Batch Matching
Payment records can be assigned to a Deposit Batch ID created on the Deposit Batches sheet. The workbook retrieves the associated deposit date and calculates each batch’s linked payment count and linked expected payment amount. A deposit variance check compares that linked total with the bank deposit amount and classifies the batch as Matched, Variance, No Linked Payments, or Missing Required Data.
Payment Posting Exception Tracking
The calculated Reconciliation Status field supports focused follow-up by identifying Not Posted records, Posting Variance, Deposit Variance, Unassigned to Deposit, Unknown Deposit Batch, Review Dates, and Missing Required Data. The Open Days field uses the payment received date and either the posting date for reconciled records or the Dashboard Review As Of Date for other records.

Clinic Operations Dashboard and Review Controls
The Dashboard centralizes the review date and tolerance settings used by workbook formulas. It reports payment and batch counts, financial totals, net variances, records requiring review, unassigned payments, status counts, and review alerts. Two charts visualize payment status counts and deposit status counts. The included values and records are populated samples, while the remaining rows are prepared for operational entry.

It calculates Deposit Variance as the bank deposit amount minus the linked payment amount, then applies the Dashboard deposit tolerance when determining the batch status.
